Editing an Issued Invoice in Sparks Provider: What You Can and Can't Change
A practical look at correcting an issued invoice in Sparks Provider, what stays protected, and how to handle the fix with a client properly.

You've just sent an invoice and spotted the problem five minutes later. Wrong date on a line item. A shift that got invoiced twice. A support item that doesn't match what was actually delivered. The instinct is to delete the invoice and start again. Don't. Here's what actually happens when you edit an issued invoice in Sparks Provider, and why some invoices won't let you touch them.
1. When you can actually edit an invoice
Open the invoice by selecting its number or the participant's name, then choose Edit invoice. This only works for eligible, newly issued, GST-free invoices. If the invoice has already gone to Xero, is mid-delivery, has an uncertain send status, or is older with no clear delivery history, Sparks Provider protects it from editing. You'll see a reason displayed rather than an edit screen. Read that reason. It's telling you why a direct correction would be risky, usually because a copy already exists somewhere else that the app can't reach back and change.
2. What a correction actually changes
Inside Edit invoice you can adjust dates and line items, and the total recalculates as you go. Use Add line or the remove icon as needed. This correction does not touch the underlying shift record, and it does not overwrite any copy already sitting in Xero. Once you're happy with the lines, enter a Reason for correction and select Save correction, then View invoice. Saving creates a new version of the invoice. The earlier version isn't deleted, it moves into History alongside the correction note, so there's a clear trail of what changed and why.
3. A fictional example: the wrong shift length
Picture a small fictional, anonymous provider we'll just call the business. An admin issues an invoice for a Tuesday shift, but the shift length was entered as four hours instead of three before approval. The invoice goes out, and ten minutes later someone notices the total looks high. Because the invoice was GST-free and newly issued, the admin opens it, selects Edit invoice, corrects the line to three hours, checks the recalculated total, types a short reason such as shift duration corrected after issue, and saves. The original four-hour version stays in History. The admin then downloads the new PDF to check it before deciding how to get the corrected version to the participant.
4. Before you send the corrected invoice
Saving a correction does not automatically email it or push it to Xero. That part is still your decision. Before sending a replacement, check what was actually delivered the first time, through the invoice's History and previous delivery records. If the original already reached the participant or their Plan Manager, a quiet re-save without explanation can cause more confusion than the original mistake. A short note alongside the corrected PDF, explaining what changed, usually saves a follow-up phone call.
5. When the invoice won't budge
If an invoice is protected, resist the urge to delete it and build a new one from scratch. A deleted-and-recreated invoice loses its place in your numbering and history, and doesn't explain itself to anyone who already saw the original. Read the protection reason Sparks Provider shows you. It usually points to the invoice already existing in Xero or having left through a channel the app can't retract. In that situation, the safer move is a follow-up communication or adjustment through Xero itself, rather than fighting the protection inside Sparks Provider.

Common questions
The details people ask next.
Can I edit an invoice that's already been sent to Xero?
No. Once an invoice has gone to Xero, or its delivery status is uncertain, Sparks Provider protects it from direct editing. You'll see the reason displayed instead of an edit screen.
Does editing an invoice change the original shift record?
No. Correcting invoice lines does not alter the underlying shift record, and it does not overwrite any version already sitting in Xero.
Will the participant automatically get the corrected invoice?
No. Saving a correction creates a new version of the invoice, but it does not email it or send it anywhere on its own. You choose how and when to deliver it.
Can I still see the old version after I correct an invoice?
Yes. The earlier version moves into the invoice's History along with your reason for the correction, so nothing is lost.
What should I do if an invoice is protected and genuinely wrong?
Read the protection reason shown on the invoice rather than deleting it. Since the invoice likely already exists in Xero or left through another channel, handle the fix there or through a follow-up communication instead of recreating it from scratch in Sparks Provider.
