Who Needs the Client Roster? Check the Recipients Before You Hit Send

Before sending a participant roster, check exactly who is on the recipient list. A practical guide to reviewing Send to in Sparks Provider.

The fastest way to send a roster to the wrong person is to assume the recipient list is still correct. It usually is, until a family member's email changes, a support coordinator moves on, or someone who should no longer get updates is still ticked. The fix is simple: check the Send to list every time, not just the first time.

Where the recipient list actually comes from

In Sparks Provider, roster recipients are not typed fresh each time. They come from the participant's saved email in Profile, Contact, plus anyone saved under Contacts for that participant. When you open Send roster, you see that same set of people under Send to. Whoever you tick gets their own separate email, and if they reply, it goes to your business email, not to the other recipients.

Three places to fix a wrong recipient

  • Profile, Contact: correct the participant's own email if it is out of date.
  • Contacts: add, edit or remove a family member, guardian or support coordinator attached to that participant.
  • Send roster screen itself: use Add another recipient for a one-off addition. It is saved to Contacts automatically, so it will appear next time too.

A quick before-you-send check

Before clicking send, open Send roster and read the displayed list properly rather than scanning it. Ask three questions: is the participant's own email still correct, is everyone ticked someone who should currently see this roster, and is anyone missing who was added recently. This takes under a minute and avoids the awkward follow-up email asking someone to disregard the last one.

A fictional example: two emails, one roster

This example is fictional and anonymous. A small support provider has a participant whose mother was the original contact and whose email is still saved from onboarding. Six months later, the participant's support coordinator is added as a second recipient, but nobody removes the mother, who has since asked to only receive agreement paperwork, not weekly rosters. The roster keeps going to both. The admin notices during a routine check of Send roster, removes the mother from the roster recipients while leaving her listed under Contacts for other correspondence, and the next roster only goes to the support coordinator. Nothing was broken in the software, the list just needed a look.

Why this is worth a standing habit

Recipient lists drift quietly. People change roles, change emails, or change what they want to be copied on, and none of that triggers an alert on its own. A short habit, such as checking Send to whenever a roster goes out weekly or fortnightly, catches drift early. It also matters because each recipient gets an individual email, so an outdated address will bounce quietly rather than loudly, and you may not notice unless someone mentions they stopped receiving updates.

If you are setting up a participant for the first time, enter the correct email under Profile, Contact before the first roster goes out, then add any additional contacts, such as a guardian or support coordinator, straight away. It is far easier to get the list right at the start than to chase corrections later.

Common questions

The details people ask next.

Does adding a recipient from Send roster create a duplicate contact next time?

No. A recipient added through Add another recipient while sending a roster is saved to Contacts automatically, so it appears as the same saved contact the next time you send.

Can one roster go to multiple people at once?

Yes. You can tick several people under Send to, but each recipient receives their own separate email rather than a single shared thread.

What happens if a recipient replies to the roster email?

Replies go to your business email, not to the other recipients on the list, so a reply from one family member or coordinator will not be visible to anyone else who was sent the roster.

Where do I remove someone who should no longer receive rosters?

Open the participant's Contacts and remove or edit that person there, or simply leave them unticked under Send to when you send the next roster.
