How to Send a Client Roster Without Another Round of Admin
Send a client roster once, not three times. A practical guide to recipients, unassigned shifts, PDF handovers and simple email wording for NDIS providers.

The fastest way to send a client roster without redoing it later is to send it once, and only once the week is actually finished. Most repeat admin does not come from the roster itself. It comes from sending a half-finished week too early, then answering the same question by reply email three separate times.
Work out who actually needs it
Before you send anything, name the actual recipients. It is usually a short list, and each one wants something slightly different.
- The participant themselves, who mainly needs to know when someone is coming
- A family member or guardian who manages appointments around the roster
- A support coordinator who wants a week-at-a-glance view, not shift-by-shift detail
- A backup worker who needs to see where the gaps are, not the whole client history

Turn the confirmed week into something you can hand over
Once the week looks right on screen, most laptops, tablets and phones can print any page straight to a PDF using the built-in browser print function. That gives you one dated document, attached to one email, instead of retyping shift times into a separate roster template for whoever asked for it. It is a plain, low-effort way to hand over a week that already exists in the system, rather than building a second version of it by hand.
Use email reminders for the client themselves
A full weekly document is not always what the client needs. Often they just need to know a worker is coming. A worked example
A small provider runs eight shifts for one client across a week, plus two shared shifts for a 2:1 session with another client. On Monday morning, the roster still shows two unassigned shifts because a regular worker called in sick. If admin sends the week straight to the participant's guardian at that point, the guardian will ask about the two gaps by lunchtime, and admin will need to reply again once they are filled. Instead, admin waits until the gaps are covered on Monday afternoon, prints the confirmed week to PDF for the guardian, and sends a short email reminder to the client for the next shift. One document goes out, once, with nothing missing and nothing to chase up later.
Wording that saves you a reply
A short, plain email attached to the PDF usually does the job: "Hi, here is the roster for the week of [date], attached. If anything looks wrong, let us know before Wednesday so we can fix it before shifts start. Thanks." It sets a deadline for corrections, so questions come back before the week starts rather than mid-shift.
